SENIOR ADMINISTRATIVE ASSISTANT, FINANCING PROGRAMS

SUMMARY:

The Connecticut Green Bank hereafter "Green Bank" is seeking a Senior Administrative Assistant to provide administrative support to its growing Financing Programs team.

Green Bank, a quasi-public authority, is the nation's first state-level "Green Bank," leveraging public funds to increase and accelerate private investment in the green economy of Connecticut. Working at the Green Bank means being part of a dynamic team of talented people who are passionate about implementing the green bank model, stimulating the growth and development of clean energy and environmental infrastructure investment in Connecticut, and growing our economy, strengthening our communities, and protecting our environment.

The Financing Programs team is responsible for the Green Bank's clean energy lending programs. The Senior Administrative Assistant will support the team's daily work including scheduling meetings, maintaining up to date electronic files, and developing and implementing new processes to continue effective operations.

EXAMPLES OF DUTIES:

The Senior Administrative Assistant will be a fully participating member of the Green Bank team from day one. Individual responsibilities may include:

  • Communicating with internal and external partners;
  • Maintaining program template forms;
  • Preparing and sending program forms, such as pre-qualification letters and term sheets;
  • Organizing and tracking program documents through various stages in the project development pipeline;
  • Assisting with billing functions, including tracking invoices and ensuring payment;
  • Scheduling meetings and events for the team;
  • Preparing presentation materials, including slides and memoranda;
  • Providing logistical support for team meetings and events, including note taking and follow-up communications;
  • Creating, updating, and maintaining data records in the Green Bank's Salesforce CRM;
  • Creating and running reports from Salesforce; and,
  • Related duties as required.

MINIMUM QUALIFICATIONS REQUIRED:

The following minimum qualifications in knowledge, skill and ability are required:

  • Strong organizational and time management skills, with the initiative and ability to multitask and work with limited supervision;
  • Excellent interpersonal skills, with emphasis on internal and external customer service;
  • Ability to work efficiently on assigned tasks independently and as part of a team;
  • Creative problem-solving abilities and a sense of personal accountability and urgency for achieving results in a challenging, fast-paced environment;
  • Significant level of maturity and the ability to work under pressure as a part of a small team balancing several programs;
  • Familiarity with Microsoft Office products, particularly Excel, Word, and PowerPoint;
  • Experience with Salesforce is preferred, but not required.

EXPERIENCE AND TRAINING:

General Experience:

  • Minimum five 5 years employment experience as an administrative assistant or in financial services administration.

Substitutions Allowed:

  • A bachelor's degree may be substituted for two years of general experience.

EMPLOYMENT DETAILS:

  • This position reports directly to the Associate Director, Financing Programs.
  • It is expected that the position will be based in the Green Bank's Hartford, CT offices, with opportunities for some remote work.
  • State of CT benefits package, including generous time-off, health insurance covering medical, dental and vision, retirement, tuition reimbursement for continuing education, and paid leave,
  • Salary commensurate with experience, ranging between $62,000 - $99,000.

  • Frequent communications, verbal and written, both qualitative and quantitative
  • Visually or otherwise identify, observe, and assess
  • Repetitive use of hands and fingers typing and/or writing
